Mobile app launch
On Tuesday 4th March, we are releasing a new Mobile app to replace current offline forms. This means an improved user journey, more modern look and feel plus a single app to house all of your offline forms. This guide should provide all the information you need to support your users through this change.
How do I access the new Mobile app?
After 5pm on the evening of 4th March, it will be accessible via your usual Exchange URL plus “/app/dashboard/”
e.g. [companyname].info-exchange.com/app/dashboard/
You can also use your current offline form URLs, e.g. [companyname].info-exchange.com/app/event/ this will work after launch. Any existing QR codes or published links will continue to work as they will redirect to the new Mobile app.

What has changed?
The Mobile app replaces your individual offline forms.
The user journey is updated, the look and feel is improved and now all of your offline-enabled forms are available through one application. The technology has also been updated.
Any existing offline form functionality has been retained, no features have been lost. This includes support for Single Sign On, internationalisation/language support and the ability to complete records offline.


Getting started
The first thing to note, is that navigating to your Dashboard will present you with an option to log in. You can choose to enter a username and password, select SSO (if applicable) or choose to proceed without logging in.
Some of your forms may only be available to logged in users, so if you proceed without logging in and you can’t see something you’re expecting – please try logging in using your usual exchange credentials.


Next, you should see a list of forms you have access to. There are a few different actions you can take here, you can manage your list of forms by sorting the list (left-hand side) or filtering the list (right-hand side). You can also make selections for each form individually or in bulk, e.g. marking favourites and hiding forms.

Any customisations you make in your Dashboard are user-specific and will only affect your device, e.g. you may choose to pin your most used form as a “Favourite”, this will mark it with a star and push it to the top of your list. You can also choose to “Hide” forms that you don’t have a need for, you can find these again by filtering your list to show you “Hidden” forms.

Forms with the “downloaded” icon next to them are available to use offline. You can download the form by accessing it, or by selecting the form on the dashboard and selecting “Download” as an action. This can be done for multiple forms as a bulk action.
Please note that if you download a form and access it for the first time much later while offline, it may no longer match the online form. Where possible and where practical, we recommend accessing infrequently used forms online ahead of taking them offline to ensure they’re up to date.


Submitting a record
A key change we have made to the user experience of submitting a record is prompting the user to “Upload” after marking a record as “Complete”.
A message is displayed immediately after marking as complete, asking if the user is ready to upload.


If the user chooses not to upload for whatever reason and they have an internet connection, a reminder will display with a prompt to upload (see leftmost screenshot).
If the user is offline during submission, they will see a reminder to upload, but it will be greyed out to show an internet connection is required.
The reminder will re-appear if an internet connection is later established.

Submitting a record
At any point, you can navigate back to the Dashboard by selecting the “Forms” hyperlink at the top of the screen. If you’re working on a record, just make sure you’ve saved it as a draft before navigating away from the page.
Questions
Q - When is the switch over scheduled?
A - We will release the new Mobile app as part of our standard release process on Tuesday 4th March at 5pm UK time.
Q - Will my app look the same as the screenshots or will it have my Exchange branding?
A - Your Mobile app will respect the colours currently set up in your offline forms and will match your Exchange branding. Aside from the colours, the screenshots should reflect the look and feel of your new Mobile app.
Q - What do my users need to do before the switch over?
A - Nothing – existing drafts will remain on their device and will continue to be accessible after the switch.
Q - I have an offline form downloaded as a shortcut, do I need to do anything different?
A - No, your shortcut will be updated automatically so that it takes you to the same form in the new Mobile app. Please note that it will not be possible to save individual forms as shortcuts moving forwards, any newly added shortcuts after the launch will default to the Mobile app dashboard, any that you have saved pre-launch will continue to work though. We intend to add to this functionality in a future release.
Q - Why have we made this change?
A - We are responding to user feedback regarding the ease of use for the Mobile app, taking the opportunity to update to a newer technology in the process.
Q - What if I don’t want my offline form to change?
A - The new Mobile app is being rolled out for all offline form customers at the same time. The old offline form will no longer be accessible. We have chosen this route to ensure that we can continue building functionality in this newer technology without needing to ensure backwards compatibility with the old offline form technology. The new Mobile app contains all functionality present in the old offline form plus more.
Q - I already have an offline form installed but can't see the changes or the new Mobile app after 5pm on 4th March?
A - Your installed offline forms will automatically update after the launch, but your device may not recognise there is a new version immediately. If you take no action, your app will update itself in time, or if you can force a reload of the app by clicking the hamburger menu in the top right corner – then select “Reload”.
Q - What should I do if I experience any issues?
A - First, try reloading your form. You can do this by clicking the hamburger menu in the top right corner – then select “Reload”.
